        A job that is quoted and billed in one visit

        Service work is fast. Often the quotation, the bill and the payment happen within the hour, at the customer's door. The order of work on this page fits that:

        1. Tap the service or repair, and add the parts you fitted as material lines.
        2. Tap Make the bill for this job straight away. There is no need to send a quotation first.
        3. When the customer pays, tap Fill in the balance and Add payment. The job is marked Paid.
        4. Switch the paper to Receipt and share it. The customer has it on WhatsApp before you have packed your tools.

        Because your rates are remembered, a general service is two taps and no typing from the second customer on.

        Installation: the standard part and the extras

        An installation price usually covers a fixed length of copper pipe. Anything longer is extra, and it is the extra that causes arguments. Put the installation as one line, then add Copper pipe, Pipe insulation, Drain pipe and Power cable as material lines by the metre for whatever goes beyond what your price includes, and the outdoor unit stand as its own line. In the notes, say how many metres the installation price covers.

        The list of notes for this trade has three lines ready: the inspection charge is payable even if the repair is not taken up; replaced parts carry the manufacturer's warranty only; and core cutting and electrical point work are not included.

        Gas and parts

        Gas can be billed as a flat Gas top-up or Full gas refill for each machine, or as Refrigerant gas by the kilogram with your labour as a separate line. Parts are material lines, so the bill prints labour and parts as two subtotals — which is what a customer claiming on a warranty or from a landlord usually needs to show.

        If a repair needs a part you have to order, send the quotation with the part's price, record the advance under Money received, and send the receipt for it. The job stays in Your jobs as Accepted until you come back to finish it.

        Keeping track of customers

        Every job is kept with the customer's name and phone number. Months later, when the same customer calls, search for the name in Your jobs and tap Copy. A new quotation opens with the same lines and your current number series; type the customer's name again and it is ready to send.

        From the quotation to the bill

        When the customer agrees, tap Accepted at the top so the job shows as agreed in Your jobs. When the work is finished, tap Make the bill for this job. The bill takes the next bill number and today's date, and keeps every line, so parts found to be needed once the machine was opened can be added before you send it. Record each payment under Money received; the bill then prints what has been received and the balance due, and the Receipt paper states the amount in figures and in words.         How do I make an AC service bill on my phone?

        Tap AC general service (or the service you did), check the quantity and your rate, and add any parts as material lines. Tap Make the bill for this job, then Share the PDF to send it by WhatsApp. Your rates are remembered, so the next bill takes a few taps.

        Can I give a receipt as soon as the customer pays?

        Yes. Under Money received, tap Fill in the balance and then Add payment. Switch the paper to Receipt and share it. It shows the amount in figures and words, how it was paid, and that nothing is due.

        How do I bill extra copper pipe on an installation?

        Add the installation as one line, then add Copper pipe as a material line with the extra metres as the quantity and your price for one metre as the rate. Say in the notes how many metres the installation price includes.

        Can I charge an inspection fee if the customer does not go ahead?

        The tool will print whatever you bill. Add the line Inspection visit with your charge, and add the note that the inspection charge is payable even if the repair is not taken up, so the customer has seen it in writing.
