Customer Ledger
Credit sales and payments against each customer's name, what you owe each supplier, and a statement to print or send.

This browser is not keeping what you do here (a private window, or its storage is full). Entries made now will be gone when the page is closed.
Answer a few questions — your kind of business, when your year starts, and the cash and bank balance you start with — and the book is ready for its first entry. It takes about two minutes.
See the numbers
No expenses this year yet.
No entries yet. Tap “+ Money in” or “+ Money out” to make the first.
No entries match.
Tick each line of your bank book as you find it on the bank's own statement. What is left unticked explains any difference between the two balances.
The name, address and numbers are printed at the top of reports and statements. The kind of business decides which ready accounts “Run the setup again” offers; it changes nothing by itself.
An account is a heading money is counted under. Tap one to rename it or see its ledger.
What the business had and owed on the day this book starts: cash, bank balance, what customers owed, what was owed to suppliers, loans. Whatever is left over is the owner's capital.
This book does not track stock item by item. Goods count as a cost when they are bought; when you count what is left unsold — at the end of a month or a year — type its value here, and the profit is put right for it.
Closing stops entries on or before the date from being added, changed or cancelled. Nothing else needs doing at the end of a year: balances carry forward by themselves, and each year's profit starts again from nothing.
For a shop that bills on the Shop Billing Counter on this same device: each day's bills become one sales entry here, split into cash, UPI and credit, and each expense typed at the counter becomes a payment. Bringing in again replaces what was brought in before, so nothing is counted twice. Nothing is changed at the counter.
To carry on at another browser, phone or computer — or to hand the book to your accountant: export everything here, get the file to the other device by WhatsApp, e-mail, a drive or a cable, and import it there. The file holds the business's details, the accounts, the customers and suppliers, and every entry.
Importing replaces what is on the device with what is in the file; it shows you both first. It is a hand-over, not a link: the two devices do not stay in step afterwards, so keep the book on one of them at a time. The same file is your safe copy if this browser's data is ever cleared.
A small file with the accounts and nothing else — for starting the book of another business or another branch with the same headings. Import it with the button above.
One line for every line of every entry, with its account and its debit or credit: a CSV file that opens in Excel, Google Sheets and LibreOffice, and that an accountant's own software can read. Each report has its own “Spreadsheet file” button under Reports.
What is new in each version
Running the setup again adds any ready accounts your book does not have and lets you change the business details. It never removes an account or an entry.
Keeping a customer's account
- Add the customer. Under People, tap + Add a customer and type the name and, if you like, a phone number.
- Enter a sale on credit. Tap the customer, then + Sale on credit. Type the amount and save. Their balance goes up.
- Enter a payment. Tap the customer, then Money received from them. Choose cash or the bank, type the amount and save. Their balance comes down.
- See where they stand. The list shows each customer's balance, largest first. Tapping a name shows every line, newest first, with the balance after each.
Suppliers work the same way from the other side: switch to Suppliers, add the name, enter a Purchase on credit when you buy and Pay them when you pay.
What the balance means
| Shown as | Means |
|---|---|
| Owes you 1,360 | The customer has bought more than they have paid for |
| 350 paid in advance | The customer has paid more than they have bought so far |
| You owe 3,250 | You have bought more from the supplier than you have paid |
| Settled | Nothing is owed either way |
Customers who already owed money when you started
Add each one under People, then open Books → Opening balances. Every customer and supplier has a box there: type what they owed, or were owed, on the day the book starts. Their account then begins from that figure.
Statements and reminders
In a customer's sheet, Print the statement sets out every line with a running balance under your business's name, ready to print or save as a PDF. Send the balance opens WhatsApp with a short message already written — the balance due and the latest five lines — in that customer's chat when their phone number is on file. You read it and send it yourself; this page sends nothing and stores no message.
Everyone at once
Under Reports, Who owes what lists every customer with a balance and every supplier you owe, with totals, as on any date. The Home screen shows the two totals as tiles. Because a customer's balance is made of the same lines that make up the balance sheet's figure for customers, the list and the balance sheet always agree.
Limits worth knowing
- The book holds up to 1,500 customers and suppliers.
- It does not add interest to what is owed or set due dates.
- A name with entries cannot be removed, so that old entries always show who they were for. A name with no entries can.
- The same person can be both a customer and a supplier only as two separate names, one in each list.
Where the book is kept
There is no account to make and nothing is sent anywhere: the whole book is kept in this browser, on this device. Books → Export everything saves all of it as one file, and Import from a file on another phone or computer opens it there — which is how the book moves, how it reaches your accountant, and how it is kept safe. Installing the page as an app (the Install app button at the top) lets it open from the home screen and work with no internet. The main guide covers setting up, tax, stock, closing a year and everything else.
What is a customer ledger?
It is one customer's account with your business: each sale to them on credit, each payment from them, and the balance they owe after each line. In many shops it is called a khata or udhar account.
Can I send a customer what they owe on WhatsApp?
Yes. Open the customer and tap Send the balance. WhatsApp opens on this device with the message written; you check it and send it yourself. Nothing is sent by this page.
Can I enter a part payment?
Yes. Enter whatever was received as Money received from them. The balance comes down by that amount and the rest stays owed.
Do my customers need the app?
No. Only you use it. A customer sees only what you print or send.
Is this only for customers, or suppliers as well?
Both. The People part has a list for each, and the Who owes what report shows the two side by side.
