Salary Slip Maker

For shops, clinics, schools, offices and homes with staff: type the pay for the month, send the slip as a PDF or a link, and start next month from this one.

All slips
Employer

These details are typed once and stay on this device for every slip. The logo is printed on the PDF and the picture.

Employee
    Month and attendance

The attendance is printed as you type it; a box left empty is left off the slip. The days do not change any amount — type the pay for the month yourself.

    Earnings
      Deductions

A line is printed when it has both a name and an amount. The tool adds up what you type and never works out a deduction — provident fund, ESI, tax or any other — for you.

        Your slips

Slips are kept in this browser on this device only. A backup file is the way to move them to another phone, or to keep them safe if the browser's data is cleared.

        How it works

        1. Fill in “Employer” once. Your business's name or your own, and if you like a phone number, an address, a logo and one of six colours. These stay on this device and go on every slip.
        2. Type the employee. The name and the designation or work — “Pharmacist”, “Driver”. Department, employee ID and date of joining are optional, and so are extra details such as a bank account.
        3. Choose the month. A new slip opens on the current month. The pay date, how it was paid and the attendance are optional.
        4. Type the pay. Under Earnings, type an amount beside each line; under Deductions, whatever is taken off. The net pay is worked out as you type and written in words.
        5. Send it. The paper on the page is the finished slip. Send it as a PDF, as a picture, or as a link by WhatsApp, text message or e-mail.

There is no “save” button. Everything is kept as you type, in this browser, and the slip is under Your slips when you come back.

        Earnings and deductions

A slip with nothing on it offers two ways to start. One salary line sets out a single line called “Salary”, which is all that a small shop or a household usually needs. Salary with allowances sets out Basic pay, House rent allowance, Conveyance allowance and Special allowance, with Provident fund and Professional tax under deductions. Either way, these are only names: the amounts are yours to type.

Under each list, tap a name to add that line, or add one of your own. Ten names are offered for earnings — Salary, Basic pay, House rent allowance, Dearness allowance, Conveyance allowance, Medical allowance, Special allowance, Overtime, Bonus and Incentive — and seven for deductions: Provident fund, ESI, Professional tax, Income tax (TDS), Salary advance, Loan repayment and Loss of pay. A slip holds up to 15 earnings and 15 deductions, and the arrows put them in the order you want.

A line is printed only when it has both a name and an amount, so a name left without an amount simply stays off the paper. A typed 0 is printed, for a slip that must show “Income tax (TDS) 0”.

The tool adds up what you type. It does not work out provident fund, ESI, professional tax, income tax or any other deduction from a salary, and it does not know any rate. If you are not sure what to deduct, ask your accountant.

        The sums, worked through

The net pay is the total of the earnings less the total of the deductions. Nothing else goes into it.

        EarningsAmountDeductionsAmount
        Basic pay15,000Provident fund1,800
        House rent allowance6,000Professional tax200
        Conveyance allowance1,600Salary advance2,500
        Special allowance2,400
        Total earnings25,000Total deductions4,500
Net pay: Rupees Twenty Thousand Five Hundred Only₹20,500

The amounts in this example are made up to show the arithmetic. The words are written in lakh and crore for rupees and in thousands and millions for the other nine currencies. If any amount has paise, every amount on the slip is shown to two decimal places. If the deductions come to more than the earnings, the page warns you, because a net pay below zero is nearly always a typing mistake.

When a slip has no deductions, the earnings take the whole width of the paper and the deductions column is left off.

        The employee's details

Only the name is needed. Everything else is printed when it is filled in and left off when it is not:

Each slip carries the employee's details as they were that month. If someone is promoted in January, change the designation on January's slip; December's still says what it said.

        Month and attendance

Days in the month is filled in from the calendar — 31 for October, 28 or 29 for February — and follows when you change the month, unless you have typed a number of your own such as 26 working days. Days worked, Leave taken and Loss-of-pay days are printed exactly as you type them, so “2 (CL)” is fine. A box left empty is left off the slip.

The attendance is information for the reader. It does not change any amount: if pay is cut for days not worked, type the smaller amount, or add a “Loss of pay” line under deductions.

Paid on is the date the salary was paid, and Paid by is Bank transfer, Cash, Cheque or UPI. Both are optional.

Next month, and the months after

Most of a slip is the same every month. Tap Next month → at the top, or Next month beside any slip in Your slips, and a new slip is made for the same person: the same details, the same lines and the same amounts, with the month moved on by one. The days worked, the leave and the pay date are left empty for you to fill in. Change an amount only where this month differs — overtime, a bonus, an advance.

If next month's slip is already there, it is opened instead of a second one being made. And when you tap + New slip, a list called Someone you have paid before lets you pick a person and carry on from their last slip.

Your slips lists every slip with its month and net pay. With more than one person, tap a name to see only theirs, with the net pay of those slips added up.

        PDF, picture, print and link

A link is not a secret: anyone who is given it can read the slip. The link does not carry your logo — the PDF and the picture do. The slip is a picture inside the PDF, so its text cannot be selected or searched.

Notes, signatures and the name of the paper

Notes on the slip takes up to 500 characters, with three ready lines to tap, such as “This is a computer-generated slip and does not need a signature.” Use these notes on every new slip makes them the starting notes from then on. Print lines for two signatures adds a line for the employee on the left and one for the employer on the right; untick it for a slip that is only sent on a phone.

Under Employer, Name of the paper changes the heading from “Salary Slip” to “Payslip”, “Wage Slip” or anything else up to 30 characters.

        Slips in Malayalam and Hindi

Language of the slip has three choices: English, മലയാളം and हिन्दी. The heading, the labels, the month, the dates and the net pay in words are printed in that language; what you type is printed as you typed it. The names offered for lines change too — ശമ്പളം, അഡ്വാൻസ്, वेतन, अग्रिम — with the English names still offered after them. The words for the net pay are written in Malayalam or Hindi for rupees; for any other currency they stay in English. A bank will usually want the slip in English; a Malayalam or Hindi slip is for an employee who reads that language more easily.

        What this tool is not

It is a slip maker, not payroll software. It does not calculate statutory deductions, does not file anything, does not produce Form 16 or any return, and does not work out pay from attendance. It prints what you type, adds it up, and keeps each month's slip so the next one is quick. What a salary slip has to carry differs from place to place; if yours must follow a set format, check with your accountant.

        Where your slips are kept

Everything stays in this browser on this device. Nothing is uploaded and there is no account. Back up to a file saves all your slips as one file, and Bring back from a file adds the slips of a backup to those already here, which is also how to move them to another phone. The page an employee opens from a link loads no advertising and no analytics.

For the other papers of employment — an offer letter, an experience certificate, a salary certificate — use the Experience & Salary Certificate tool.

        Questions
Is the Salary Slip Maker free?

Yes. There is no charge, no sign-up and no watermark on the slip. The PDF, the picture and the link are all free.

What does a salary slip contain?

The employer's name, the employee's name and designation, the month, the earnings line by line, the deductions line by line, the totals, and the net pay in figures and in words. Department, employee ID, date of joining, bank account, attendance, the pay date and notes are optional here and are printed only when you fill them in.

Does it calculate PF, ESI or tax?

No. It adds up the amounts you type and never works out a deduction or suggests a rate. Type the deductions yourself, or ask your accountant what they should be.

How do I make next month's slip?

Tap “Next month →”. A new slip is made for the same person with the same lines and amounts and the month moved on by one; only the days worked, the leave and the pay date are left to fill in.

Can I make slips for several employees?

Yes. Tap “+ New slip” for each person. Every slip is listed under Your slips, and with more than one person you can tap a name to see only theirs.

Can the employee change the slip from the link?

No. The link opens a page that only shows the slip and lets the reader download it as a PDF, save it as a picture or print it. It cannot change your copy.

Can I make a salary slip in Malayalam or Hindi?

Yes. Choose the language of the slip under Month and attendance. The heading, labels, month, dates and the net pay in words are printed in English, Malayalam or Hindi. What you type is printed as typed.

        Where are my slips stored?

Only in this browser on this device. Nothing is uploaded. Use “Back up to a file” to keep a copy or to move the slips to another phone.

Is this a legally valid payslip?

It is a clear record of what was paid, on your name or letterhead, with room for signatures. What a payslip must contain depends on where you are and on your kind of business, and the tool does not check that. If you need a set format, ask your accountant.
