Salary Slip for a Small Business

For a shop, clinic, school or office without payroll software: basic pay and allowances, deductions, totals and net pay, on your own letterhead.

All slips
Employer

These details are typed once and stay on this device for every slip. The logo is printed on the PDF and the picture.

Employee
    Month and attendance

The attendance is printed as you type it; a box left empty is left off the slip. The days do not change any amount — type the pay for the month yourself.

    Earnings
      Deductions

A line is printed when it has both a name and an amount. The tool adds up what you type and never works out a deduction — provident fund, ESI, tax or any other — for you.

        Your slips

Slips are kept in this browser on this device only. A backup file is the way to move them to another phone, or to keep them safe if the browser's data is cleared.

A slip with allowances and deductions

This page opens an empty slip with Salary with allowances chosen. Four earnings are set out — Basic pay, House rent allowance, Conveyance allowance and Special allowance — and two deductions, Provident fund and Professional tax. They are names only. Type an amount beside the ones you use; a line with no amount is not printed, so there is nothing to delete.

The earnings are printed on the left of the paper and the deductions on the right, each with its total, and the net pay in a band underneath with the amount in words. That is the layout most banks and landlords expect to see.

The tool does not split a salary into basic pay and allowances for you, and it does not work out provident fund, ESI, professional tax or TDS. Type the figures from your own salary structure, or from your accountant.

        Your letterhead, once

Under Employer, type the business's name, address and phone number and choose a logo. They are remembered on this device and go at the top of every slip, in one of six colours. The logo is made small enough to keep — at most 360 by 180 pixels — and is printed on the PDF and the picture.

For each employee, the Employee ID, Department and Date of joining are printed when filled in. Under the details, + Bank account adds a line for the account the salary went to, and with rupees chosen PAN, UAN, PF number and ESI number are offered too. Up to eight such lines fit.

        A month's slips, quickly

The first month takes the longest: one slip for each person. After that, the work is mostly taps.

        1. Open Your slips and tap Next month beside a person's latest slip. The new slip has every line and amount of the last one.
        2. Type the Days worked and any Leave taken, and the date under Paid on.
        3. Change only what differs this month: overtime, an incentive, an advance taken back.
        4. Share the PDF, or tap WhatsApp to send the link to the number typed for that employee.

With several people in the list, tap a name above it to see only that person's slips, with their net pay added up. That total is a quick answer when someone asks what they were paid over six months.

When someone needs slips for a loan or a visa

Banks and visa offices usually ask for the last three or six months. Open each month's slip from Your slips and download its PDF; the file is named with the month and the person's name, such as salary-slip-2026-10-anil-kumar-p.pdf, so they sort themselves in a folder. Tick Print lines for two signatures and sign and stamp the print-outs if the bank wants originals. For a letter that states the salary rather than a monthly slip, use the Experience & Salary Certificate tool.

        Keep a backup

The slips live in this browser only. Once a month, tap Back up to a file and keep the file somewhere safe. Bring back from a file adds a backup's slips to those already on a device, without replacing any.

        Sending it, and next month

The paper on the page is the finished slip. Download PDF saves it as one A4 page, Share the PDF hands it to WhatsApp or another app on a phone, and WhatsApp sends a link to the phone number typed for the employee. When the next month comes, tap Next month →: the new slip has the same lines and amounts, and only the days and the pay date are left to fill in. The sums, the link and the backup file are explained in the main guide.

        Questions
What is the usual format of a salary slip?

The employer's name and address at the top; the employee's name, designation, ID and the month; earnings such as basic pay and allowances on one side and deductions on the other, each with a total; and the net pay in figures and words. This page lays the slip out that way.

Can I put my company logo on the slip?

Yes. Choose a picture under Employer. It is printed at the top left of the PDF and the picture. A link does not carry the logo.

Does it split the salary into basic and HRA?

No. It sets out the names and you type each amount from your own salary structure. It does not work out any allowance or deduction.

How do I give an employee their last three months' slips?

Open each month from Your slips and download its PDF. The files are named with the month and the employee's name.

How many employees can I keep?

There is no set limit. Slips are kept in the browser's own storage on your device; back them up to a file from time to time.
