GST invoice software

Type the party and the items; CGST and SGST (or IGST), round-off and the total are worked out as you type, the invoice prints as a proper tax invoice, and the books are posted at the same time.

Making a GST invoice

  1. Press F8 (or Sales on the keys). The date is today; the invoice number is the next in the year.
  2. Choose the party: start typing a customer's name and pick it from the list, or press Alt+C to make a new customer there and then. The place of supply is taken from the customer's state.
  3. Type each item, its quantity and rate (the item's selling price is filled in for you). A discount percentage, if any. An empty item line and Enter moves on.
  4. Add charges such as freight or packing (with their own GST rate if they carry tax), or a discount as a minus amount.
  5. Press Ctrl+A. The invoice is saved, posted to the customer, the sales account and the tax ledgers, and a fresh invoice opens. "Print it" prints the one just saved.

How the tax is worked out

Each line is quantity × rate, less its discount. The tax is worked out once per rate on the total at that rate, which is how the HSN-wise table on the invoice adds up exactly. Within your state it is split into equal halves of CGST and SGST (UTGST in Chandigarh, Ladakh, Lakshadweep, the Andaman and Nicobar Islands, and Dadra and Nagar Haveli and Daman and Diu); to another state it is all IGST. With rounding on, the total goes to the nearest rupee and the paise go to the Round Off ledger.

The app knows no GST rates. You give each stock item its rate and HSN code once; check them against the rate notifications or with your tax adviser.

What the printed invoice shows

Your company's name, address and GSTIN; the buyer's name, address, GSTIN and state code; invoice number and date, place of supply, the items with HSN, quantity, rate, discount and amount; the charges, CGST/SGST or IGST and round off; the total in figures and words; an HSN-wise tax table with the tax in words; your bank details and terms; and space for the authorised signatory. Save it as a PDF from the print window to send it.

Invoices without goods

For services, press Ctrl+H on the invoice to switch to an accounting invoice: lines of ledgers (say, Service Charges) with an amount, a GST rate and a SAC code, instead of stock items.

Questions
Is the invoice a valid GST tax invoice?

It carries the particulars a tax invoice needs — supplier and recipient GSTIN, a consecutive number for the year, date, HSN or SAC, quantity, value, rate and amount of each tax, place of supply and a signature space. Whether you need e-invoicing (an IRN from the government portal) depends on your turnover; this app does not generate an IRN.

How does it decide between IGST and CGST + SGST?

From the place of supply chosen on the invoice — the customer's state by default — against your company's state. The same state means CGST and SGST; a different state means IGST. You can change the place of supply on any invoice.

Can I change the invoice number format?

Yes: in Features (F11) give Sales a prefix such as INV/ and the invoices become INV/1, INV/2 and so on. Numbers start again at 1 each financial year.

What if I made a mistake on a saved invoice?

Open it from the Day Book or the customer's ledger, change it and accept. To keep its number on record but make it count for nothing, cancel it (Alt+X); to remove it altogether, delete it (Alt+D).

Can I send the invoice on WhatsApp?

Print it to PDF from the print window and share the PDF from your phone or computer. Reminders of bills due can be opened straight in WhatsApp from Bills Receivable.

Does it work for a composition dealer or an unregistered business?

An unregistered company simply switches GST off and prints plain invoices. A composition dealer should also switch GST off on its invoices (it cannot charge tax), and work out its composition tax outside the app.
